The purpose of this policy is to inform you about the rules of privacy protection when using information that we receive directly or indirectly from our Guests, including information obtained through our websites.
I. Personal Data Controller
The owner of the hotel and, at the same time, the Personal Data Controller is:

II. Information on Data Processing
The Data Controller informs that the personal data provided will be processed in accordance with Regulation EU 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons, in connection with the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as GDPR.
III. Scope of Personal Data Collected
We collect personal data that is necessary to make a stay reservation and to provide the services offered by us.
IV. Voluntary Provision of Data
The provision of personal data by the Guest and consent to its processing is voluntary, but necessary in order to make a stay reservation, provide hotel services, issue formal and accounting documents for the purpose of settling services, as well as in other exceptional cases, including those related to fire safety.
V. Method of Data Collection
We collect data during:
- the reservation process via the website,
- the reservation process carried out in person at the hotel, by telephone or by e-mail, as well as during guest check-in at the hotel,
- the use of the newsletter service.
We may also obtain data from our partners from booking portals, such as Booking.com, HRS, event organizers, etc., if consent has been given.
VI. Types of Data Collected
During reservations made via the hotel website, in person, by telephone or by e-mail, as well as during Guest check-in at the hotel, the following data is collected:
- first name and surname,
- address: street, house or apartment number, postal code and city,
- telephone number,
- e-mail address,
- data necessary to issue a VAT invoice for a company,
- registration number of the vehicle belonging to the Guest, if the hotel car park is used,
- identity document number.
Children’s data, such as first name, surname, nationality and date of birth, is collected only from their parents or legal guardians in order to determine their age and applicable discounts, as well as for statistical purposes, in connection with the obligation of the Central Statistical Office and the spa fee.
VII. Purposes of Data Processing
The collected data is used for the following purposes:
- Fulfilling our obligations towards Guests.
- Handling room reservations and accommodation requests, including creating and storing legal documentation in accordance with accounting standards.
- Handling the Guest’s stay at the hotel, in particular:
- monitoring the use of services, such as telephone, restaurant, bar, spa treatments, etc.,
- managing access to rooms,
- internal management of lists of Guests who behaved improperly during their stay at the hotel, including by violating the terms of the agreement with the hotel or safety rules.
- Improving hotel service, in particular:
- processing the Guest’s personal data as part of our marketing programme in order to conduct marketing activities, promote brands and better understand the Guest’s requirements and wishes,
- better adapting our products and services to Guests’ requirements,
- matching commercial offers and promotional messages sent to the Guest,
- informing the Guest about special offers and new hotel services.
- Managing relations with Guests before, during and after their stay, in particular:
- handling the loyalty programme,
- sending customized messages to the Guest,
- creating statistics and calculating commercial results, as well as preparing reports,
- providing contextual data used by the offer recommendation tool when the Guest visits the hotel website or books a hotel stay,
- sending newsletters, promotions and offers for tourist and hotel services, as well as contacting the Guest by telephone,
- handling requests related to unsubscribing from subscriptions, promotions, tourist offers and satisfaction surveys,
- respecting the right to object.
- Improving hotel services, in particular:
- handling complaints and grievances,
- offering the Guest benefits under the loyalty programme.
- Ensuring security and improving the use of the hotel website, including:
- improving navigation,
- implementing security measures and fraud prevention measures.
- Ensuring compliance with legal regulations, for example in the field of storing accounting documents.
VIII. Access to Guests’ Personal Data
Direct access to Guests’ personal data is granted only to authorized hotel employees and processors with whom separate agreements have been concluded, including subcontractors providing services to the hotel.
Data may also be made available to entities authorized under applicable law.
IX. Protection of Personal Data
Hotel Kudowa**** Manufaktura Relaksu takes appropriate technical and organizational measures, in accordance with applicable legal regulations, in order to ensure maximum protection of our Guests’ personal data.
X. Credit Card Data
When the Guest provides us with credit card data during the reservation process, they are redirected to the payment card acquirer’s website, which ensures the security of the transaction.
XI. Guest Rights
Guests of Hotel Kudowa have the right to access their data, in accordance with the regulations, to correct it, to transfer the data and to receive a copy of the personal data processed by the hotel.
In addition, the Guest has the right to withdraw the consent granted at any time, request restriction of data processing, request deletion of data and exercise the right to be forgotten in the case of personal data processed for marketing purposes.
XII. Data Processing Period
Data collected for the purpose of providing hotel services will be processed for the period specified by law, and in the case of data collected on the basis of consent — until such consent is withdrawn.
XIII. Right to Lodge a Complaint
If it is found that personal data is processed unlawfully, you have the right to lodge a complaint with the President of the Personal Data Protection Office.
